Club & Services Support

We provide support to SSMU Student Groups

Building Services provides facility-related support for recognized SSMU clubs, services, and independent student groups operating within the University Centre (3480 McTavish) and SSMU Annex (3501 Peel). Find information on accessing resources and requesting assistance.

Facility Access & Use

Space Allocation

Space allocation for clubs and services is managed by the SSMU VP Student Life. Applications for office or storage space are reviewed annually. For information on the application process and criteria, please visit the SSMU Clubs Resources page.
Keys & Access Cards

Once space is allocated, club and service executives can request keys or access cards through Building Services:

  1. Submit a key request form (available at the Building Services office)
  2. Provide executive identification and proof of club/service status
  3. Pay any applicable key deposits
  4. Return keys at the end of the academic year or when leadership changes

Monday to Friday: 9:00 am – 5:00 pm
Saturday and Sunday: Closed

After-Hours Access

Clubs requiring after-hours access must submit a request through our online form at least 48 hours in advance. Approval is subject to security considerations and building availability.

Event Support for Club/Service Activities

Clubs and services hosting events in bookable spaces should refer to the Event Support & Security page for information on setup, AV, and security assistance.

For activities within club spaces, Building Services can provide:

  • Guidance on room capacity and safety regulations
  • Assistance with basic facility needs
  • Coordination with security for after-hours events
Delivery + Mail

Mail and packages for clubs and services are received at the main reception areas:

  • University Centre: Main floor reception
  • SSMU Office: Front desk

Items are sorted daily and club/service representatives will be notified via email when mail or packages arrive. Please ensure proper addressing:

Maintenance & Repairs for Club/Service Spaces

Reporting Issues

Clubs and services should report maintenance issues (e.g., lighting, heating, leaks) within their allocated spaces using the SSMU RedMine system.

Responsibility

Building Services is responsible for structural elements, electrical systems, plumbing, and HVAC. Clubs are responsible for their own equipment, furniture, and any damage beyond normal wear and tear.

Report Maintenance Issue

Postering in the University Centre

  • You can submit 2 posters to the SSMU Kiosk, 1st floor of the University Centre for approval and installation. Contact the Communications Department at commsmanager@ssmu.ca for more information.
  • You cannot hang posters for any commercial group external to McGill in the University Centre, including a commercial group that may be sponsoring your Club.

Submit a maintenance request through building system, specifying your club name and office location.

Can we paint or modify our club space?

Minor modifications require prior approval from Building Services. Submit your request with detailed plans through our system.
