Welcome to the Equipment Rental page for the SSMU. Here, you can reserve a wide range of items to enhance your event or activity.

Equipment Accompanying a Space Booking

Any items already present in your reserved space are included in the reservation at no additional cost. However, you have the option to add extra items as “add-ons” for an additional fee. Please refer to our catalogue for pricing details (coming soon).

Booking Process

If you belong to a SSMU-Affiliated Group

Add-ons will be available to select online via your SSMU VEMS portal when making a request.

Please communicate your add-on requests to the Events Coordinator. You can indicate your add-ons directly in the booking request form or via email (internalevents@ssmu.ca).

Equipment Independent from a Space Booking (Outdoor Use)

Here, you can reserve a wide range of equipment for your specific needs, independent of any space booking. Please review the following information before proceeding with your equipment reservation:

Booking Process

  1. Fill out and submit the Equipment Booking Form:
      -Please complete and submit the Equipment Booking Form to initiate your request. Kindly allow up to (2) business days for processing.
      -For urgent same-day requests, contact the Internal Events Coordinator (internalevents@ssmu.ca directly. Same-day requests will be considered based on inventory availability
  2. Receive the Equipment Rental Contract:
      -Once your booking request is approved, you will receive an equipment rental contract from the Events Department via DropBox Sign. The contract will require your e-signature.
  3. Complete the Equipment Rental Contract:
      -Review the contract and provide the requested e-signature using the provided DropBox Sign link. After signing, a completed copy of the contract will be returned to you for your records. Payment options and details will be communicated at this stage.
  4. Arrange Equipment Pickup:
      -On the day of your reservation, please contact the Porters at 514-617-0081 to coordinate the pickup location within the University Centre. The Porters will provide further instructions and assistance.
  5. Equipment Return:
      -When returning the equipment, please contact the Porters again to arrange a drop-off location within the University Centre. It is important to schedule the return within our operating hours: Monday & Tuesday from 8:30am to 10pm, and Wednesday to Friday from 8:30am to 11pm. Additional late fees may apply if the return is not within the specified operating hours.

Liability

To ensure the proper care and security of the equipment, please never leave it unattended during the rental period. As the renting party, you are fully responsible for any damages or loss that may occur. We kindly ask for your understanding and cooperation in safeguarding the equipment throughout the rental period.

Ordinary wear and tear of equipment is expected, however, in the event of lost or damaged equipment, the equipment will be charged fair market value for replacement of items as needed.
