Building Services provides support for official tenants leasing space within the SSMU University Centre (3480 McTavish) and SSMU Annex (3501 Peel). This page outlines key contacts and procedures for facility-related requests.

Our Services

Lease & Agreement

For questions regarding your lease agreement, terms, or renewal, please contact the SSMU Operations Department. They manage all tenant relationships and can provide guidance on your specific agreement.

Maintenance & Repairs within Leased Spaces

Reporting Issues

Tenants should report maintenance issues (e.g., lighting, heating, plumbing, pests) within their leased space using the form below.

Responsibility

As outlined in standard lease agreements:

  • Building Services is responsible for: Building structure, electrical systems, plumbing, HVAC, common areas, and building-wide systems.
  • Tenants are responsible for: Interior fixtures, tenant-owned equipment, cosmetic issues, and any damage beyond normal wear and tear.

For specific questions about responsibility for repairs in your space, please refer to your lease agreement or contact the Operations Department.

Report Maintenance Issue

Keys & Access Cards

 

  • New Keys/Cards: Submit a key request form (available at the Building Services office) with proper identification and authorization
  • Replacements: Lost or damaged keys/cards must be reported immediately and may incur a replacement fee
  • Returns: All keys/cards must be returned at the end of the lease term

Building Access Request Form

Delivery + Mail

Mail and deliveries for tenants are processed as follows:

  • Regular mail is sorted daily and delivered to tenant mailboxes
  • Packages are received at the main reception and tenants are notified via email
  • Large deliveries requiring loading dock access should be scheduled in advance through Building Services

Modifications to Leased Space

All modifications to leased spaces require prior written approval:

  1. Submit a detailed request to Building Services including overall need, budget, timeline, and any additional information
  2. Building Services will review for compliance with building codes and policies
  3. McGIll will review the submission to establish scope, resources, timeline, costs and compliances
  4. Written approval must be received from the required stakeholder before any work begins

Unauthorized modifications may result in lease violations and restoration charges.
