SSMUfest 2013: Winter Activities Night is here!

Missed the Fall Activities Night? Overwhelmed by the crowds and hundreds of groups in September? Found some new free time to commit to student groups? SSMUfest is for you!

The winter edition of SSMU’s largest event of the year will take place from 4:30-8:30pm on January 28th in the SSMU building — come to learn about hundreds of student groups and participate in activities, see performances, and even grab some cheap food!

More information and a program for attendees will be sent out shortly!

If you’re already involved in a club/student group, the new “SSMUfest” format will also include other events throughout the week organized for you, including a club/services mixer at Gerts on Wednesday, January 30th (!!) — and read on for how to register your group to table on Monday the 28th!

FOR STUDENT GROUPS: HOW TO REGISTER FOR A TABLE: REGISTRATION for internal groups (ie SSMU clubs/services/ISGs/faculty associations) and external groups (non-SSMU groups) ends Friday, January 11th, at noon!

Groups can register for a TABLE only, or a table PLUS an “activity” like a workshop or performance (in rooms on the second floor of SSMU or the Gerts/Ballroom stages). Please see below for all the information about how to register for the table or hosting a workshop, performance, or other activity. We are also encouraging groups to sell FOOD at their tables if interested, food fair style! Please note this on your form if you are interested, and email ssmu.activitiesnight@gmail.com with any questions!

If you would like to request a TABLE at SSMUfest/Winter Activities Night, fill out the table registration form; if you would ALSO like to run another activity (eg workshop, performance, presentation, etc) you must ALSO complete one of the following forms (depending on space desired) —

ACTIVITY TIME SLOTS:

Activities in either the Lev Bukhman or Madeleine Parent (Breakout) Room are given a 45-minute time slot.

Each group must respect this time limitation and all/any set-up, takedown and transition time must be included within this limit.

Thus, you must complete a total of TWO forms – one for a table (mandatory) and one for a special space within the building for your group’s preferred time (optional). Please fill them out at the same time!!!

 

Other general notes:

• Please, PLEASE, coordinate with your groups members so that each form is only filled out ONCE!!!!!!!!!! Often clubs fill out the form multiple times and it makes table allocations confusing and takes longer.
• All clubs/groups that wish to participate must register for a table by FRIDAY JANUARY 11 @ 12pm! The form will be closed on the dot so please, register well in advance.
• If your club wishes to perform or host an activity or workshop, you must claim a space and time only AFTER the table registration has been filled out – they are filled on a first come first save basis. When choosing a time and place, please be certain the option works best for your club to avoid future confusion or changes that may not be able to be made.
• PLEASE DO NOT DUPLICATE ANY SUBMISSIONS – coordinate among your group members who will be doing the registration
• Activities in either the Lev Bukhman or Breakout Room are given a 45-minute time slot. Performances on either Gert’s or Ballroom stage are given a 15-minute time slot.
• Each group must respect this time limitation and all/any set-up, takedown and transition time must be included within this limit.
• Groups may only choose a total of one time and place. You cannot perform at Gert’s and have a room. Any double claims will both be eliminated! Be careful!
• When signing up on the doodle, please indicate your club name and the contact primary contact name
